Privacy Policy
DC ConServ, LLC — Optimyze OS Brain
Updated October 23, 2026
Scope and current rollout
DC ConServ, LLC operates dcconserv.com and Optimyze OS Brain. This policy covers website inquiries and the app’s internal pilot for authorized DC ConServ users. The approved initial QuickBooks use is read-only reporting. QuickBooks authorization is recorded for the internal pilot; ongoing accounting-data ingestion remains off while on-demand reporting tests are evaluated. Publishing this policy does not activate an integration.
Information we handle
Website inquiries include the name, phone number, email address, license type, state, and message you provide. App setup records include authorized user and business identifiers, provider connection status, authorization and synchronization timestamps, and setup or error notes. Website and app operation can also involve session cookies and technical security logs.
When a tested QuickBooks reporting connection is enabled with the company administrator’s authorization, the intended data is company information and the accounting records needed for the selected reports, which may include accounts, customers, vendors, invoices, bills, payments, balances, and transaction details. Access must be limited to the approved company and purpose. Users should not submit passwords, payment-card details, or unrelated sensitive information in support requests.
Purposes and limits
We use inquiry information to respond to requests and coordinate services. We use app setup information to administer access, troubleshoot connections, and maintain the internal pilot. The approved QuickBooks purpose is internal business reporting and review. The pilot does not authorize payments, changes to accounting records, or communications to customers.
Providers and AI processing
The website uses GoDaddy hosting and WordPress, and its Thrive integration settings include Mailchimp. Information provided through website services may be processed by the providers supporting those services. Intuit separately handles its own accounts and authorization services under its privacy policy.
Website inquiries and chat
We use HighLevel/LeadConnector to receive website inquiries, maintain contact and conversation records, and coordinate responses. Where the website offers an AI assistant, messages sent to it may be processed by the providers supporting that assistant. Please do not include passwords, identity documents or unrelated sensitive information. Permission to respond to your inquiry is separate from permission for recurring marketing messages.
Campaign information and operational reporting
The website may carry limited campaign and entry-page labels into the inquiry form to help us understand how a request arrived. These labels do not identify anonymous visitors by themselves or authorize follow-up. Linked internal status reporting is limited to approved operational metadata; private conversations are not duplicated into that reporting path.
QuickBooks storage locations, retention settings, and any AI-processing providers must be documented and tested before accounting-data ingestion is enabled. This pilot policy does not authorize sending QuickBooks records to AI providers, training models on those records, selling them, or using them for advertising. Any broader processing requires an updated disclosure and appropriate authorization before activation.
QuickBooks authorization storage and disconnection
Optimyze OS Brain stores its QuickBooks refresh authorization credential encrypted in Supabase, with the application database located in the United States. This credential allows the app to maintain the connection authorized by the company administrator. Access tokens are not stored persistently. When you successfully disconnect QuickBooks through Optimyze OS Brain, the app revokes provider access, removes the stored refresh credential, and cancels pending authorization requests. Removing this credential does not delete existing business records; requests to delete other information are handled separately as described below.
On-demand reporting tests
Authorized company owners may request read-only Profit & Loss and Balance Sheet previews for a selected period. The app retrieves these reports from Intuit through its Supabase backend, validates and processes them in memory, and displays them in the signed-in owner’s browser. Report contents are not saved to the app database, included in application logs, or sent to AI services by this test flow. The preview can be cleared or discarded by leaving or reloading the page. These tests do not start scheduled synchronization, save accounting records for ongoing reporting, or change QuickBooks records. Persistent ingestion requires separately established retention and deletion procedures before activation.
Access, security, and retention
App access is intended for authorized personnel with a business need. No internet service can guarantee absolute security. We retain inquiry and setup information for the operational purpose for which it was collected and applicable administrative, legal, or security needs. Requests to review or delete information can be made using the contact below. Specific production accounting-data retention and backup-deletion procedures must be established before the reporting integration is enabled.
Your choices and deletion requests
Contact admin@dcconserv.com to request access, correction, deletion, or assistance disconnecting Optimyze OS Brain. Identify the business and account concerned, but do not email passwords or authentication codes. We may verify your authority before acting and explain any information that must be retained. Disconnecting an integration stops future authorized access once the disconnection is effective; it does not itself delete existing records. Deletion is a separate request. Where available, the company administrator can also revoke the app’s connection through QuickBooks.
Cookies and other services
Login and session cookies support authentication and site operation. You can manage cookies through your browser, although disabling them can affect sign-in. Third-party services linked from the site have their own policies. The internal app is intended for authorized business users, not children.
Changes and contact
We will revise this policy when the rollout or data practices change and update the effective date. Material expansion of QuickBooks data use must be reviewed before activation. Questions: admin@dcconserv.com.
